Crow Shay Member Guide
Crow Shay is a craft tracking bot built for crochet and fiber arts communities. It lives right inside Discord, so you can log your WIPs, browse your yarn stash, save patterns, and track rows and rounds — all without leaving the server.
All your data is private by default, and you can choose what to share with the community.
First steps
Quick Start
New to Crow Shay? Here's how to get up and running in a few minutes.
Server admins: required setup first.
Before members can use scheduled features like WIP
Wednesday or CAL check-ins, a server admin or owner
needs to run /setup timezone and any
other relevant setup commands.

Run
/helloto see an introduction to the bot and everything it can do. -

Set up your profile with
/profile intro— add your display name, pronouns, and favorite craft so the community knows who you are. -

Add your first WIP with
/wip add— give it a name, choose a craft type, and optionally add notes or an image. -

Add some yarn to your stash with
/yarn add— Crow Shay will search Ravelry for yarn details automatically.
Run /commands at any time for a full
list of available commands organized by category.
Feature
WIP Tracking
WIP stands for Work In Progress. These are your active craft projects. Crow Shay lets you add, update, and complete WIPs with images, notes, and craft type — all in one place.

Completing a crochet WIP via
/wip complete counts toward the
server's annual goal. Other craft types (knitting,
embroidery, etc.) are tracked in your history but
don't increment the server goal.
Feature
Row & Round Counter
Keep track of rows, rounds, or repeats while you work — without losing count. Your progress accumulates across multiple sessions.
Run /counter to get started. You'll be able

Pick one of your active WIPs from the list.

Use the +1, +5, and +10 buttons to count up as you go.
Your count and total session time accumulate across multiple Discord sessions. The counter automatically deactivates when you complete the WIP.
Feature
Yarn Stash
Log what you own, track what you've used, and keep your stash organized. When you add yarn, Crow Shay automatically searches Ravelry for yarn details — you can also enter everything manually if the yarn isn't in the database.

Community Features
Annual Goal
Your server has a shared annual crochet project
completion goal. Every time you complete a crochet WIP
with /wip complete, it contributes to the
server total. Check progress anytime:
/annualgoal show
Only crochet projects count toward the annual goal. Projects in other craft types are tracked in your personal history but don't increment the server total.
Leaderboard
See who's been the most prolific crafter in the server
with /leaderboard.
WIP Wednesday
Your server may have automated WIP Wednesday posts — a weekly check-in where members share what they're working on. Look for the post in the designated channel every Wednesday and share your progress!
CAL (Crochet-Along)
If your server is running a CAL, the bot posts weekly check-ins automatically. Join in by replying to those posts and sharing your progress.
Privacy
Privacy & Your Data
Your data is yours. When you view your own WIPs, stash, patterns, or profile, Crow Shay shows results across all servers where you share the bot. When viewing someone else's data, you only see what's in the current server.
A few things worth knowing:

WIPs can be set to private using
/wip update. Private WIPs are visible to you but not to other members browsing the server. -

Your profile intro is optional. You control what information (name, pronouns, favorite craft) is displayed to others.

Data is stored per-server. Leaving a server does not automatically delete your data from that server's database.
Web Dashboard
The Crow Shay Dashboard
The Crow Shay web dashboard gives you a browser-based view of all your crafting data — across every server — in one place. Browse your stash, check your WIPs, and revisit finished projects without opening Discord.

Visit crowshay.app/dashboard or click Open Dashboard from the home page.

Click Login with Discord and authorize Crow Shay to read your basic profile info.

Your data loads automatically — Profile, WIPs, Completed Projects, Stash, Patterns, and Counters, all in the sidebar.
The dashboard is read-only — you can view and browse all your data, but adding or editing items still happens through Discord commands.
Crow Shay is cozy, encouraging, and non-judgmental.

For Server Admins
Required Setup
Run these commands in order before any scheduled features will work. Admin or mod role required.
Always run /setup timezone first.
Without a timezone, scheduled posts will not fire
correctly.
1. Set Your Timezone
Run /setup timezone and enter an IANA
timezone name — for example
America/New_York,
America/Chicago, or
Europe/London. UTC is intentionally
blocked. Need to look yours up? Visit
addevent.com timezone lookup.
2. Configure WIP Wednesday
Run /setup wip-wednesday to enable the
automated weekly check-in post. You'll choose the
channel, post time (24-hour format, e.g.
14:30), and an optional role to ping.
Running the command automatically enables it — no
separate toggle needed.
3. Configure a CAL (Crochet-Along)
Run /setup cal to set up structured weekly
check-ins over a 1–4 week CAL event. Set the start date,
duration, post time, channel, and optional role ping.
The bot adjusts messaging for the final week
automatically. Admins and mods can also trigger a
check-in early with /cal checkin.
4. Configure Milestone Announcements
Run /setup milestones to enable shout-outs
when the server hits annual goal thresholds — 25%, 50%,
75%, and 100%. Set the channel and an optional role
ping.
All scheduled features use the timezone set in step
1. Post times are always in 24-hour
HH:MM format — e.g.
09:00 or 20:30.
For Server Admins
Annual Goal
Set a server-wide project completion goal for the year. The goal tracks one craft type at a time — crochet by default, but admins and mods can change it.

Only completed WIPs matching the configured craft type increment the server total. Other craft types are tracked in members' personal history but don't count toward the goal.
For Server Admins
Mod Role
Grant a trusted moderator role access to all staff commands without full admin permissions:
/setup modrole [role]
The assigned role can use all
/setup subcommands (except
/setup modrole itself),
/cal checkin, /disable, and
/annualgoal set. Only one mod role can be
configured per server at a time.
/setup modrole and
/annualgoal reset remain admin-only.
For Server Admins
Disabling Features
Each scheduled feature can be paused without losing its
configuration. To re-enable any feature, simply re-run
the corresponding /setup command.

Crow Shay automatically backs up all databases daily
at 3:00 AM with 30-day retention. If a member leaves
your server, their data remains in your guild's
database — use /export-wips to keep
records before removing members if needed.
